The mission statement will be addressed at the
next meeting. The group will update the
current mission statement.
· Current mission statement reads: The Curtis Pond Community Club is a volunteer organization whose purpose is to share ideas and talents so that we may grow as parents and that we may learn ways to better understand and help our children become confident and capable individuals. The club will inspire parents as well as children to meet and socialize with others in their community.
II.
Membership
· Membership will be unlimited in size and will not be exclusive to Curtis Pond residents. Please note membership is open to anyone not just parents.
III.
Newsletter
· Kim Trueman is working on a newsletter for the club. Kim will present an unedited drafted newsletter at the next meeting for all members to discuss, change, edit and approve.
· Members will vote at the next meeting on the start date of the newsletter. Members will also vote on the distribution of newsletter, i.e. Monthly, Bi-monthly or Quarterly.
IV.
Flyers
· The members voted that flyers will be passed out 7-10 days prior to an event.
· Krys Hernandez will design the flyer and send it to Kim; Kim will print 600 copies and divide up between members.
· At the next meeting members will divide up the streets in CP and designated the divvied up streets amongst each other. Each member will be responsible for handing out the flyers/newsletter to their streets.
V.
Meetings
· Meetings will be held the 2nd Wednesday of every month.
· The new start time will be 6:45pm. There will be a HARD start to all meetings at 7pm. Meetings will have a HARD stop at 8:30pm.
VI.
Meeting Minutes/Treasure’s Report
· Minutes will be taken by the secretary at all meetings. Final minutes will be sent within 1 week to ALL members of the steering committee for approval via email. Once minutes are approved, the secretary will forward the approved minutes to Krys for posting.
· Minutes will be posted on the website and forwarded via email to all volunteers/members.



· The treasurer’s will compile a monthly financial report to present at each meeting. They will supply all attendees a copy of the report at each meeting.
· The treasurer will not have to discuss the report unless questions are raised at the meeting.
· The monthly financial report will be voted on at each meeting for approval by all volunteers/members at that meeting.
VII.

In order
to ensure the success of this club, volunteers are needed to fill various
Steering Committee positions. All board
positions are filled on a volunteer basis. The first person to volunteer for a
board position will be granted the position. There are currently 9 positions
in the steering committee, 7 voting and 2 non-voting.

IX.
Steering Committee Responsibilities
· Meeting
Coordinators
The meeting coordinators are responsible for all meetings held by the parent club. They will be responsible for starting the meetings, following the agenda items and adjourning the meetings. If there are any changes to location, dates and times of the meetings the coordinators will be responsible for communicating the changes to all members and volunteers. They will also be responsible in making sure all agenda items are discussed, they will make sure all meetings are orderly, kept to format and on time. They will be responsible for setting up any steering committee meetings and posting meeting updates on the websites.
· Treasurer
Keep receipts and vouchers for those who need reimbursement. Maintain a club checking account with a local bank. Present a monthly financial report at the monthly meetings and prepare a yearly budget. Maintain responsibility for recurring business necessities/expenses such as website, movie licenses etc.
· Secretary
Will maintain membership roster, keep Board meeting minutes and prepare meeting agendas. Responsible for newsletter.
· Fundraising
Committee
This committee will present ideas to the group for raising funds for all activities. Responsible for compiling all research, contacts and any other information regarding fundraising. Will update all members during monthly meetings.
· Charity
Chairperson
This committee will present ideas to the group for charity events. Responsible for compiling all research, contacts and any other information regarding Charity functions. Will update all members during monthly meetings.
· Historian
Maintain a scrapbook and history of the Curtis Pond Community Club including photos, articles, etc. Take photos at every event held by the club.
· Webmaster
Maintain web page for club with updates on meetings, events, calendar, document portal and fundraising page.



X.
Parents Club Guidelines
·
At no time during any official club event or
meeting will any member discuss the Phase 1 BOD, any HOA,
· All correspondence from the Parents Club shall be approved by all Steering Committee members.
· Any member with a new idea for an event will be discussed at the monthly meetings under the New Ideas Topic. New ideas for events will be voted on during that meeting. If approved the member will become the Event Committee Chairperson for that event and the floor will be open for volunteers to co-chair.
· Any new ideas for fundraising should be forwarded to the Fundraising Committee Chairperson (Michelle). Any collected research or information obtained for fundraising should be forward to Michelle as well.
· Any new ideas for Charity work should be forwarded to the Charity Chairperson (Kandice). Any collected research or information obtained for Charity work/functions should be forward to Kandice as well.
· All new meeting attendees are to fill out a volunteer contact information form. Volunteer contact information forms should be present at all Club events as well.
· The secretary (Kim) will compile a spreadsheet of all Club contacts including Steering Committee Members and volunteers. Kim will keep this list updated and forward it to all Steering Committee members. Kim will also compile a spreadsheet for a list of overall contacts related to events, fundraisers, charity etc. Kim will keep this information updated and accessible to Steering Committee members only.
· Any member needing to be reimbursed for monies spent must present the treasurers with receipts. Reimbursement is to be done with both treasurers approval.
